Job Description:

Position Purpose: The TSS Executive Assistant is the nexus to engage communication both vertically and horizontally across the organization. The individual enables the effective, efficient, and high performance leadership of Teton Science Schools through supporting the Executive Director, the TSS Board and Committees, and the TSS Executive Team.

Qualifications:
• Professional and highly developed written, verbal, and interpersonal communication.
• Ability to work with a range of individuals from Board members to faculty to the public.
• Accessible, approachable, and welcoming with exceptional discretion and confidentiality with sensitive information and/or complex situations.
• Ability to work with a high level of independence and coordinate communication across a breadth of people, teams, and stakeholders.
• Well developed organizational skills, prioritization, and the ability to anticipate need.
• Fluency in the Google Apps suite.

Working Conditions & Physical Requirements:
• Able to write / type / communicate
• Capable of visiting students in both indoor and outdoor classrooms throughout all four seasons
• Potential regional travel
• Main office location at the Teton Science Schools Jackson Campus

Responsibilities:
50% Chief Execuitve Officer Support
• Coordinate the calendar, meetings, and travel schedule of the Executive Director.
• Manage phone calls and prioritize emails.
• Update appropriate technology tools including Salesforce and credit card reports.
• Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
• Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information and initiating telecommunications.
• Facilitate smooth and effective internal TSS communication.
• Understand and promote the standards and policies of the school, providing leadership as standards and policies evolve.

30% TSS Board Support
• Serves as the first point of contact for all Board and Committee communication.
• Coordinate the schedule, facilities, pre-materials, and all logistics of all Board and Committee meetings.
• Support the Development office in the planning and execution of Board member hosted events and Board member stewardship.
 • Enable effective record keeping through written notes for the associated TSS Board and Committee meetings.
• Communicate to Board and Committee members in a timely fashion re: meeting dates, times, and locations.
• Understanding of TSS bylaws and Board policies and procedures and drives/reminds process as appropriate.
• Manage and update the associated Board resources (Board electronic files).
• Ensure the appropriate resources (physical space, technological resources, snacks, etc.) are available and executed to support various Board and the above listed Committee events.
• Collect, build, and distribute appropriate Board materials, information, and documents.
• Maintains Board roster, files, and committee minutes for Board and subcommittee membership and meetings.
• Additional Board project or task support as required.

20% Executive Team Support - OneTSS
• Support the efforts of TSS Executive Team members on projects and initiatives related to schoolwide work or projects.
• Support Executive Team members in Board report content.
• Responsible for historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
• Leads planning for any all-school meetings or internal events.
• Acts as a communication liaison during organization-wide incidents or when operations are impacted at a campus-level.
