Job Description:

Core Responsibilities

  • Manages existing administrative department tracking systems (database management, file-sharing, SOP development and versioning, and general department organization) and continually collects and applies advice to improve them
  • For the Research Oversight Committee, coordinates tracking and reporting of external and internal proposals, and assists with the revision and updates to ROC protocols, RO policy, and forms
  • Responsible for coordinating administration and logistics of the Scientific Advisory Council, Lunchtime Seminar Series, and Visiting Fellows Program
  • Working with CR staff, tracks, and coordinates science review for internal Science Advice and Services program, both within and among Aquarium departments and divisions
  • Supports physical and electronic data management, including assisting in the operation of the Ocean Memory Laboratory, specimen tracking, permitting, and documentation of protocols
  • Responsible for coordinating annual deliverables to the AZA ARCS database


Ancillary Responsibilities

  • Assists with general C&S Research operations and administration, including purchase orders, budget, recruitment, volunteer training, onboarding, and staff appreciation
  • As assigned, represents the C&S Research department at the Administration Meeting, Continuous Improvement Process, and other internal coordination and operation meetings
  • As assigned, assists with producing content for communications, including blog posts, social media, department highlights, and other materials


Absolutely Required Skills / Knowledge / Ability / Experience or Education

  • 3+ years administrative coordinator experience
  • Undergraduate Bachelor's degree or relevant work experience
  • Excellent written and verbal communications skills
  • Strong administrative and organizational skills with excellent data management skills
  • Strong organizational skills with the ability to manage multiple projects with varying priorities simultaneously
  • Ability to understand and implement complex flow of documents
  • Track and follow-up on action items, perform research, answer questions and communicate deliverable requirements
  • Sound judgment even in ambiguous situations
  • Proficiency in use of business applications (Excel, Word, Outlook, Acrobat, Power Point, DocuSign, Google Suite)
  • Ability to bring clarity to ambiguous environments and drive a team forward
  • High competency in workplace diplomacy and non-authoritative leadership
  • Ability to work independently with a high degree of self-motivation and thrive as a member of a diverse team
  • Demonstrated aptitude in conducting research operations with interns and volunteer staff
  • Ability to work within, and maintain Monterey Bay Aquarium's Core Values
  • Ability to meet challenging deadlines and work under pressure
  • Able to simultaneously and accurately manage many vendor and contract documents in various stages of development to completion


Desired Skills / Knowledge / Ability / Experience or Education

  • Experience in these areas:  purchasing, contracts, vendor management, proposals
  • Knowledge of basic science content related to biology, conservation biology, marine biology, physical oceanography and/or related fields of science
  • Experience working at a scientific institution, conservation organization, aquarium, zoo, or other non-profit
  • Demonstrated knowledge of the Aquarium's history, mission, infrastructure and operations as well as long-standing partner institutions (Hopkins Marine Station, MBARI, MLML, etc.)
  • Proficiency in reference manager database software (Endnote, Mendeley, etc.)
  • System experience (Sage-Intacct, Adaptive, OneNote)
