Position Purpose

The Volunteer & Special Events Manager is expected to work as part of the Riveredge Nature Center team of staff and volunteers to provide administrative support to all programs and functions of the nature center. This includes collaborating with staff to ensure the success of the programs, events, and overall operations as well as designing systems to recruit and retain a cohesive volunteer team. In addition, the position is responsible for managing aspects of special event logistics and facilities rentals.

This position supports the success of exceptional guest experiences and other aspects of day-to-day operations and administrative functions. The Volunteer & Special Events Manager reports to the Executive Director with supervisory support from the Riveredge Leadership Team which includes the Director of Development, Associate Director of Education, Director of Education and Director of Research and Conservation.

The Volunteer & Special Events Manager will be the first point of contact for many visitors and prospective volunteers to the nature center and is expected to represent a passion for the mission through effective communication with guests as well as while answering and directing phone calls.

Riveredge seeks a dynamic, fun individual with exceptional customer service and organizational skills to fill this position.

Primary Duties

The Volunteer & Special Events Manager position includes responsibilities in volunteer management and special events coordination.

Visitor Experience (5%)

  • Represent the organization in a highly positive manner as an integral part of front-line guest interactions and visitor engagement.
  • Work closely with the Administrative Assistant for Education & Membership to provide positive guest experiences and visitor services.
  • Answer and direct phone calls to the appropriate team members while providing quality customer service.
  • Assist in front-line tasks such as staffing the front desk and donor stewardship efforts to ensure exceptional care and gratitude for all supporters.

Volunteer Coordination (40%)

  • Provide oversight for the 350+ volunteers engaged at RNC.
  • Lead staff to communicate and publicize volunteer opportunities at RNC.
  • Continually strive to recruit new volunteers.
  • Communicate with staff members regarding volunteer needs.
  • Coordinate all volunteer trainings; lead appropriate volunteer training.
  • Build partnerships with regional groups such as regional Volunteer Centers and other appropriate agencies to meet the volunteer needs of RNC.
  • Document volunteer metrics (numbers of volunteers, events, and volunteer hours) on a continual basis.
  • Manage necessary legal requirements for volunteering (e.g. background checks, community service hours).
  • Coordinate groups of volunteers from local organizations and businesses for work days.
  • Create volunteer schedules as well as design and manage systems for sharing.
  • Coordinate volunteer recognition efforts.
  • Provide content for the Volunteer page of the RNC newsletter and website.
  • Lead contact and coordinator for community groups such as Boy Scouts, Girl Scouts or Eagle Scout projects.

Special Events Management (30%)

  • Serve as lead logistics coordinator for all organizational special events including Maple Syrup Supper, Yule Log Dinner, Frothy Forage, Farm to Table Dinner, Riveredge Bike Ride, Sturgeon Fest, and the Pancake Breakfast.
  • Provide assistance to other staff on the following special events and other programmatic events such as Maple Sugarin’ Festival, Annual Meeting, Donor Benefit Events, anniversary events, etc.
  • Collaborate with volunteers and staff to secure in-kind donations for special events.

Facilities Rental Management (20%)

  • Schedule and coordinate all facilities rentals at Riveredge.
  • Conduct tours for potential rental clients and review renter responsibilities and requirements.
  • Work with the Business Manager to collect rental fees and completed rental agreements.
  • Contact renter six weeks prior to the event to review the agreements and ensure they understand the responsibilities of both pares.
  • Work closely with the Buildings and Grounds Manager to coordinate set-up and clean-up of rentals.
  • Send a survey to renters following events and compile and analyze feedback.
  • Work with marketing staff to implement creative marketing as related to facilities rentals.
  • Assist in increasing membership by promoting member benefits to renters.

General Responsibilities (5%)

  • Contribute content, as appropriate for position responsibilities, for the RNC website.
  • Support administrative operations of the nature center, including proper maintenance of office equipment, building records and organizational systems, answering and responding to telephone and written communications, and the distribution of mail.
  • Participate in programs, events, and staff meetings of each department as necessary to fully understand the programs and initiatives at Riveredge.
  • Assist in staffing the Visitor Center approximately one weekend day per quarter (in addition to assisting with other weekend events).
  • Provide regular reports to the Executive Director on volunteer impact and special events
  • Work with all members of the Riveredge staff team and undertake additional assignments as necessary

 

Position Expectations

In addition to the primary duties, the Volunteer & Special Events Manager is expected to meet the following expectations set forth to all staff members of Riveredge Nature Center:

Quantitative Expectations

  • Work as a part of the Riveredge Team to annually achieve 5% growth in the number of program participants reached (schools, students, families) and the overall number of member households.
  • Work to increase Facility Rental Revenue by 10% annually (current revenue is $24,000).

Additional working conditions include:

  • Work evenings and weekends on an occasional basis (average one weekend days per month).
  • Assume occasional travel within the state.
  • When approved by the employee’s direct supervisor, limited hours may be spent telecommuting remotely on an as-needed basis.

Preferred Qualifications

  • A minimum of 2 years of experience in volunteer coordination, special event management, or a related field.
  • Strong organizational skills and a natural ability to manage people, projects, and deadlines.

  • Enthusiastic, positive, motivated, and likes to have fun on the job.

  • Experience with database management, particularly Blackbaud’s eTapestry platform, or willingness/ability to learn new systems quickly.
  • Experience utilizing event registration software programs, such as Active Works.
  • Ability to work as a member of a team by sharing decision making while personally assuming and also asking for responsibility and accountability.
  • Personal interest in conservation education, connections to environmental issues, and community well-being.
  • Experience working with volunteers and/or donors.
  • Excellent computer skills, comfort using email and internet. Must be proficient in using Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and iPads.
  • Experience with Google Suite (Gmail, Google Calendar, Google Docs, Google Sheets), Adobe Suite (In Design, Photoshop), Wordpress, social media platforms, and/or Trello.
